Step 2: Check the Organiser Fields
After UpDoc imports the PDF, check the organiser details on the Tour Properties tab before doing anything else.
Fields to check
Section titled “Fields to check”| Field | What to look for |

| Organisation | The society or group name — not a tour title or price. |
| Organiser Name | The individual’s name only — no title prefix |
| Organiser Telephone | Should be a landline (01xxx or 02xxx). If a mobile number has ended up here, move it to Organiser Mobile. |
| Organiser Mobile | Should be a UK mobile (07xxx). If the PDF listed it under Mob:, UpDoc will have extracted it here automatically. |
| Organiser Email | Check it looks correct — no Email: prefix should remain |
| Organiser Address | Multi-line — check the formatting looks clean |
Placeholder values
Section titled “Placeholder values”If UpDoc cannot match a value from the PDF, it leaves a placeholder such as [Organiser Telephone]. These will not appear on the front end, but you should correct the value manually.
Common causes:
- Organiser Telephone — if the PDF has no landline, the placeholder stays. Clear it and enter the number manually if you have it.
- Organiser Name — occasionally a long name is set in a smaller font in the PDF and is not extracted. Enter it manually.
Phone number rules
Section titled “Phone number rules”UpDoc routes phone numbers by their prefix:
Mob: 07xxx→ Organiser MobileTel: 07xxx→ Organiser Mobile (the 07 prefix overrides the Tel: label)Tel: 01xxxorTel: 02xxx→ Organiser Telephone
If a number has landed in the wrong field, correct it in the backoffice.
